This privacy policy explains how Less 4 Spares Ltd collects and uses your personal data, and how we protect it. It applies when you visit less4spares.co.uk or buy from us, and when you contact us. We process personal data in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

1. Who we are

2. The data we collect

We collect contact and identity data, which is your name, billing and delivery address, email address and phone number. We also hold order data: the products you buy, your order history, returns and refunds.

Payments are processed by Shopify Payments and PayPal. We do not see or store your full card details.

If you ask us to check fitment, we keep the vehicle details you give us, such as your car's make, model, year and photos of parts. When you contact us, we keep the emails, messages and call notes.

Cookies and similar technologies collect technical data, including your IP address, browser and device type, and how you use our website. We also record your marketing preferences, meaning whether you have agreed to receive marketing from us.

3. How we use your data and our lawful basis

4. Who we share your data with

We share personal data only where needed for the purposes above.

Shopify hosts our online store and processes order data on our behalf. Shopify Payments and PayPal receive your data to take payments and issue refunds. Royal Mail and the courier that carries our next day service receive your delivery details so they can deliver your order.

We have not installed analytics yet. When we do, most likely Google Analytics, that provider will receive data about how the website is used. Professional advisers, such as accountants and lawyers, may receive your data too, and so may HMRC, the police and other authorities where the law requires it.

We do not sell your personal data.

5. International transfers

We do not transfer your data outside the UK ourselves. Our providers may, though. Shopify and PayPal process data on servers outside the UK, and when they do it is covered by the safeguards set out in their own agreements, as UK data protection law requires.

6. How long we keep your data

We keep personal data only for as long as we need it for the purposes above. Order and payment records are kept for six years, because HMRC requires it. Customer account details are kept until you ask us to delete them. Emails and support messages are kept for about two years.

7. Cookies

Our website uses cookies that make the shop and the checkout work, such as keeping items in your basket. We will also use analytics cookies to see how the shop is used, with your consent. Our cookie banner lets you decline non-essential cookies, and you can change your choices at any time.

8. Your rights

Under UK data protection law you have the right to ask for a copy of your personal data, and to ask us to correct data that is wrong or incomplete. You can also ask us to delete your data or to restrict how we use it.

You have the right to object to us using your data, including for direct marketing, and to ask for your data in a portable format. Where we rely on consent, you can withdraw it at any time.

9. Complaints

If you are unhappy with how we handle your data, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.

10. Keeping your data secure

We use appropriate technical and organisational measures to protect your personal data, and we limit access to staff and service providers who need it.

We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
